The Project executive is responsible for oversight of multiple projects assuring that the project teams develop and execute delivery strategies to ensure that project schedule and financial goals are met.

Project executives will maintain direct reports, consisting of office operations staff, to act as a mentor, develop employee skills and advance department initiatives. Project Executives may, at times, be asked to act as Senior Project Manager on specific projects depending on specific clients, current staff capabilities, or workload.

Throughout the life of the project, the Project Executive is responsible for maintaining and advancing relationships with the external team (ie: Owners, OPMs, consultants, and decision makers). They should coordinate with the VP of Operations and VP of Sales to discuss upcoming project opportunities which should be reported to the VP of Operations at a minimum quarterly.

What You’ll Do

The Project Executive responsibilities and duties include, but are not limited to the following

  • Project Startup
    • Attend Handover meeting with Estimating to most efficiently hand over project to the team. Create project team deliverables and To-Dos out of meeting to include the following:
      • Create load sheet for review by VP of Operations and Controller review
      • Ensure project Master Schedule is created by project team and review prior to submission to DFO for baseline
      • Hold a project kickoff meeting with clients to meet NEC Way
      • Hold internal project kickoff meeting with entire project team to review logistics, schedule, subcontractor buyout status, anticipated procurement issues, and establish project goals
    • Ensure all purchasing emails are submitted and reviewed prior to award and that targeted subcontractors selected at Handover Meeting are solicited for bids
  • Project Construction
    • Attend OAC and consultant meetings to provide executive oversight, maintain positive client communication, and vet internal project issues
    • Attend internal meetings to confirm project issues are being tracked, addressed and resolved by the internal team
    • As a baseline, the Project Executive should attend internal and OAC meetings based on project size as listed below. This requirement will vary depending on stage of project, client relationships, project performance, etc. Deviations should be discussed during Project Lead meetings.
      • $0 - $1million – once per month
      • $1 - $5million - twice per month
      • $5 – $10million – three times per month
      • $10million + - all meetings
    • Review weekly reporting from project team to ensure items are submitted, accurate and are being created to resolve project issues. These reports are to be reviewed, and top items inserted by the PX into the Project Lead meeting agenda prior to the meeting for review.
      • 3-week look ahead schedules
      • Weekly Status Reports
      • Material Status Reports
    • Review monthly reporting from project team to ensure items are submitted, accurate and are being created to resolve project issues. Present monthly reporting to Director of Operations for review
      • Monthly schedule updates
      • Monthly cost reports
      • Monthly cash flow
      • Project Issue Tracking Logs
    • For projects over 6 months in duration, a project update meeting is to be coordinated and held with the VP of Operations, DofE, and Project Executive to review project schedule, subcontractor performance, project profitability and client satisfaction
  • Monthly Reporting Requirements
    • Cost Reporting and Cash Flow
      • Project Executive will coordinate and meet with the Project Managers for all projects where they are the project lead to review all financial projections. Follow up meeting to be held with VP of Operations for submission to accounting department
  • Project Closeout
    • Work with the project team to complete the following within 30 days of demobilization from site
      • Confirm with Project accountant financial closeout on the project for all commitments are closed out
      • Closeout meeting template completed and sent in to VP of Operations and Director of Estimating
      • At discretion of VP of Operations, hold closeout and lessons learned meeting with Operations and Estimating department
Who You Are
What You'll Need:
  1. Prior experience in pre-construction planning, design build, schedule development, commercial construction, and estimating.
  2. Ability to manage a team of employees and multiple projects.
  3. Expertise understanding of construction methods and installation sequencing.
  4. Proven record of meeting organizational and personal goals while delivering results to a standard of excellence.
  5. Expert level of MEP Knowledge.
  6. Thorough knowledge and the ability to drive the construction management process for all contractual delivery methods including lump sum bids, guaranteed maximum price and design build.
  7. Strong organizational skills, attention to detail, and ability to prioritize workload in order to meet tight deadlines in a fast-paced and dynamic work environment.
  8. Excellent communication skills, written and verbal, with the ability to clearly communicate issues to all levels of management.
  9. Excellent analytical and problem-solving skills.
  10. Experience with Procore and Sage Financials is required.
  11. Proficient in MS Project.
What You’re Bringing to the Table
  1. Bachelor’s degree in project management, civil engineering, construction management or related field.
  2. 10 or more years’ experience in project management in construction or similar experience.
  3. Master’s degree is a plus, but not required.
  4. Must be able to perform all essential functions of the job.
